The Paperless Office concept is real. And with today's technology, it is more affordable and easier to accomplish for even a small home office. To successfully maintain your "paperless office", it is critical for you to establish a simple naming convention for all your electronic documents. When you follow a well-defined naming convention, it is easier to find your documents, and continually use and maintain your paperless office.

A naming convention is simply a well-structured standard that you define for your electronic documents. Keep it simple and logical, so that you and anyone else that accesses your documents can easily understand and follow your naming guidelines.

For example, a simple and logical naming convention for your home bills might be:

[date].[company].[type].pdf

Following this naming convention, your scanned "bill" statements may have the following file names:

2010_01_01.ComEd.bill.pdf 2010_01_15.Verizon.bill.pdf 2009_12_15.Verizon.contract.pdf

Immediately, just from looking at these file names, you can tell that these documents are your electric utility bills and cell phone bills. You also can instantly identify the dates for each bill statement. In the last example, you can quickly see that this is your "contract" agreement with your cell phone service.

This is just one simple example of a naming convention. When defining your own naming standards, consider a structure that will best support the way you think and organize your office.

And do not stress about getting your naming structure perfect in the beginning. The nice thing about a paperless office, having all your documents as electronic (soft-copy) files on your computer, is you can easily change your naming standards and tree folder structure in the future.

I strongly suggest to use "dates" in the first part of your file names, and format them as [YYYY_MM_DD]. Use the full [four-digit year], then the [two-digit month] and then the [two-digit day]. By following this specific format for dates in the front of all your filenames, you then have the flexibility to sort your files by "name", allowing you another way to quickly locate your documents within each folder chronologically.

As you continue to develop and maintain your paperless office, following your simple naming convention, along with a logical and well-defined "folder structure" will go a long way to keeping your electronic documents organized and efficient.

You want to keep your business relationships fresh and current. Stay in touch with important people. This also means that you have to prioritize among those who are important and others who deter you from your goals. Those who are a drain on your time, money and effort (TME) should be avoided. Those who don't embrace a value-for-value interchange should be avoided. Spend your TME on establishing, building and maintaining profitable, mutually beneficial relationships.

One way you can do this is with the right tools around you. One I recently tested is the new Fujitsu S1500 scanner. WOW! Installation was fast. When working to achieve a paperless workplace or home, it is impossible to deny the usefulness of a solid and feature-full duplex scanner. And I have always been one to advance the notion of getting those extra features that you may only ever use once or twice. It's always better to have what you need on hand, even if it isn't very often.

But that doesn't mean the best duplex scanner for you is the most expensive model that can do everything.

The first and most important step in deciding which scanner to buy to assist you in going paperless is to determine exactly what your scanning needs will be, even if, as mentioned above, some of those needs won't be very frequent.

Obviously, the scanner should be able to handle standard size documents, which means you won't be looking for a dedicated photo, ID or business card scanner. However, having the ability to scan photos, IDs or business cards may be something you need from time to time. If so, make sure the scanner you choose has that functionality. But don't just get a photo-enabled scanner for kicks. If you have never and will never scan a photograph, save some money and get a scanner that doesn't cater to that.

The same goes for large-document scanners, those capable of processing, for instance, opened newspapers. If you can reasonably say that you may have need for such functionality from time to time, then by all means, get a large-document scanner. If not, then go with a cheaper model.

Making sure our duplex scanner is feature-rich is a good thing, but it is possible to go overboard and spend money that you will only regret later.

That being said, the one thing you do want to make sure your new scanner has is duplex functionality. That's what we have been talking about all along, after all. Nearly every decent document scanner has duplex functionality these days for pretty much the same price as simplex scanners, so there is no reason not to get it, even if you may not scan double-sided documents all that often.

The huge variety of scanners out there can be daunting to someone just looking for a simple piece of hardware to help them get organized. But with a little careful planning, you can make sure you get the scanner that is going to do everything you need, at a price that won't break the bank.
